Job Description

1. Order & Fulfillment Coordination:

  • Monitor daily order workflows on the system, ensuring all orders (including both “Early Access” and “Best Seller”) are accurately dispatched to the correct stakeholders (production facilities, logistics partners).
  • Work directly with third-party logistics partners (3PL) to resolve arising issues: order synchronization errors, incorrect addresses, and special requests.
  • Supervise and update order statuses across separate fulfillment flows.
  • Act as the primary contact for managing tracking numbers, ensuring they are accurately and promptly updated for customers.

2. CS Partner Management:

  • Receive and handle escalated cases (Tier 2 support) passed on from the customer service team that they cannot resolve on their own (e.g., complex returns/exchanges, quality complaints, lost orders).
  • Provide necessary information (regarding shipping status, return policies, product details) so the customer service team can best support clients.
  • Monitor performance reports and metrics of the customer service team.

3. Product Management:

  • List new products daily/weekly, update product descriptions, details, images, prices, and optimize collections (early access, best seller) to drive sales conversion.

4. Operations Reporting & Data Aggregation:

  • Aggregate critical operational data from multiple sources (3PL logistics reports, customer service reports, Shopify order data).
  • Create and submit a daily executive report (in the form of a simple dashboard) to the Board of Directors, covering key metrics: processed orders, pending orders, backlog issues, prominent customer service topics, return rates, etc.
  • Analyze bottlenecks within the operational workflows and propose improvement solutions.

Candidate Requirements

Candidate Requirements

  • Highly proficient in using Google Sheets (or Excel) for tracking, management, and reporting.
  • Possesses a systems-oriented mindset and logical problem-solving skills, particularly regarding logistics and fulfillment operations.
  • Proactive and self-motivated in work.
  • Clear and coherent communication skills (both verbal and written) to work effectively with various partners.
  • Good English reading and writing skills for collaborating with international partners.

Preferred Qualifications:

  • Experience working directly with third-party logistics (3PL) providers.
  • Experience using Shopify for order management and operations.
  • Experience working with customer support systems (e.g., Zendesk, Gorgias) in a management or escalation-handling role.
  • Ability to perform basic data analysis to identify trends and issues.
  • Basic Chinese communication skills are an advantage.

Interest

  • Income: 15 – 20 million VND/month, depending on capability.
  • Base salary: 10 – 15 million VND.
  • Performance-based pay: Quarterly/annual performance bonuses based on key operational metrics such as order processing speed, error rates, and customer satisfaction regarding issue resolution.

  • Monday – Friday (08:30 – 17:30)
  • Off on Saturdays and Sundays
